UTC Keypunching Paper Citations

You may keypunch your paper citations into TraCS.

In order to do this, the users who will be keypunching need a special access level called Records Data Entry (RDE).   This allows them to type the UTC number onto the form.   Contact TraCS Support if you need this level added to someone's profile.   Users with this access will not be able to pull numbers onto forms.   Therefore, road units should not be given the RDE level.

On paper citations, the vehicle section has the Tag Expiration Year with no month or day.   The TraCS form asks for the entire date because that is what is on the raw NCIC response and that is what will import onto the form.   The entire date is required for validation.   The agency should decide how they want to handle this field on the TraCS form.   If the RDE users have accounts for ELVIS or other NCIC vendor, they can run the tag and import.   Another option would be to request that the officers write the entire date on the paper citation.

Any citation that is keypunched into TraCS that does not require a court appearance will transmit to the clerk unless you are in Broward or Escambia County.   For all other counties, it is imperative that you contact your clerk's office and let them know you will be keypunching your paper citations.   Let them know that the infractions that do not require a court appearance will transmit electronically along with your eCitations.   They will tell you whether they still want you to deliver the paper copies to them.
