Overview

Photos cannot be added directly to the FLHSMV crash form.   It is a state form and it is not allowed.

If you would like to add crash photos, you must do it via the Attachments form.   The size limit for a single form is 20 MB.

The Attachments form is a separate module in TraCS.   If it is turned on for your agency, you will see it on list to the left along with the other form icons.

If you do not have Attachments turned on and would like to use the form, contact TraCS Support.

Attachments may be viewed by any TraCS user at the agency.   Special permissions are not required.   See the How to View Attachments page for further information.

How to Add Photos

Officers may add photos to their own crashes by using the Copy Info to Another Form button.

Any user with Reviewing Supervisor or higher may add photos to other users' crashes by using the Copy Info to Another Form button.

If the officer is not the person who created the crash, they may still add photos, but they must do it by creating an Attachments form outside of the crash.

The size limit for a single form is 20 MB.   If you have photos for a crash that total more than 20 MB, split them between multiple attachments.   If you have a single file that is over 20 MB, it cannot be loaded into TraCS.

Adding Photos from Within a Crash Form

The best way to add crash photos is by creating an Attachments form from within the crash.   That way, the forms are automatically linked and may be viewed and opened via the Show Forms in Case tab.

Any user with Reporter permissions may add photos to their own crashes by using the Copy Info to Another Form button.

Any user with Reviewing Supervisor or higher may add photos to other users' crashes by using the Copy Info to Another Form button.

With the form open, press the Copy Info to Another Form button.   You do not need to be in Edit mode.   Check the box next to Copy to Attachment.

When the new form opens, fill out the Attachment Description field.   This information will show in the Form Type column in the Forms Manager.

Go to the Attachment field to upload your photos.   The size limit for a single form is 20 MB.   If you have photos for a crash that total more than 20 MB, split them between multiple attachments.

The form will look similar to this after the upload.

Detailed instructions on how to add attachments are on this page, including a training video on how to add multiple photos at the same time.

Be sure to validate the Attachments form when finished.

When the Copy Info to Another Form button is used, the form will be listed under the Show Forms in Case Tab to the left.   Double click to open it.

When the case number is searched, the results will look like this in the Forms Manager.

Adding Photos by Creating an Attachments Form

All TraCS users with Reporter level or higher may create an Attachments form outside of a crash or other form.

If you do not have supervisor permissions and you are not the officer who created the crash, you must use this method to add crash photos.

Create a new form by clicking on the Attachments icon.

Type the case number in the Number field and update the Type field if desired.   Add notes to the Description field if desired.

Press Create.

When the form opens, fill out the Attachment Description field.

When the case number is searched, the results will look like this in the Forms Manager.
